How to choose a software development company

Choosing the wrong development partner is the most expensive mistake in a software project. Use this checklist to compare companies before you sign anything.

1. Look at real, similar work

Ask for projects close to yours: same type of app, same users, same market. Screenshots and live links matter more than logos. If the project is confidential, ask for a short demo.

2. Ask how they scope a project

A good company asks many questions before giving a price: who the users are, which reports you need, what systems to connect. Be careful with anyone who gives a fixed price after a five-minute call.

3. Check the process

You should see working software every one or two weeks, not only at the end. Ask how demos, feedback and changes are handled, and which tools you will use to follow progress.

4. Clarify ownership of code and data

The contract should say clearly who owns the source code, where it is stored, and how you get your data back if you change provider.

5. Test communication early

Response time and clarity in the first exchanges are a good preview of the whole project. Agree on languages, meeting times and a single point of contact.

6. Ask about security

How are passwords, payment keys and personal data protected? Where is the software hosted, and who has access? Are backups tested?

7. Plan for after the launch

Software needs updates: phone operating systems change, app stores change their rules, payment APIs evolve. Ask what maintenance costs and what response time is guaranteed.

8. Start small

A paid discovery phase, a prototype or a first module is a low-risk way to test a company before committing to the whole project.

9. Compare total cost, not just the quote

Include hosting, licences, maintenance and the cost of changes. The cheapest quote often becomes the most expensive project.

10. Watch for red flags

  • No questions about your users or processes.
  • No written scope or contract.
  • Refusal to show work in progress.
  • Unclear ownership of the code.
  • All payment requested up front.
